Frequently asked questions

...and their answers.

Where are practices and games held?
For both soccer and softball, practices and games are played at the same place, on the same days, at the same times. Softball and soccer are held at public parks. Practices are held the first 3 weeks of the season and games the remaining 5 weeks. Dodgeball runs for only six weeks; it meets one day a week at an indoor facility. For all sports, the team your child is on will be broken into two "teams" and those teams play each other on game days. We do not travel to play, nor do we play with other homeschoolers.

Are parents required to stay at the field during practice/games?
Yes, a parent/other supervising adult is required to stay at the fields during practice/games.

What are the Roles/Positions within CHS for which I can volunteer?
Here is a quick breakdown of the roles. Experience is not necessary. All volunteers need is a willingness to learn and work together to create an environment of good sportsmanship, skill building, and fun for our children.

Head Coach (softball, soccer, dodgeball): Lead the team. Watch YouTube/look up/read the info packets we send coaches to get an idea of the sport. Make it fun. Run drills, work on improving skills, and facilitate games. Dedicated position: requires a twice a week commitment. Head Coaches receive reimbursement for up to 3 kid’s registration fees.

Assistant Coach (softball, soccer, dodgeball): Assist the Head Coach. Watch YouTube/lookup/read info packets we send coaches to get an idea of the sport. Make it fun. Assist in running drills. Assist in improving skills. Help the Coach as needed and fill in if the coach is absent. Dedicated position: requires a twice a week commitment. Assistant Coach receives reimbursement for 1 kid’s registration fees.

Helper on the Field (softball, soccer): Help the Head Coach and Assistant Coach. Be backup for the Head or Assistant Coach if they cannot be at a practice or game. This position is basically an extra set of hands that the coaches can call on if needed. This position requires 3 volunteers per team; this is to ensure someone will be available at every practice/game to be able to help. This is not a full time position. We ask that each of the Helpers on the Field (HOTF) coordinate dates that work the best for them. At least one of the three volunteers needs to be present at each practice/game.

Field Representative (softball, soccer, dodgeball): This position requires a lot of walking. The Field Rep will walk from field to field and be the first point of contact for the Coaches/parents/kids to relay any concerns and/or needs that arise during the season. The Field Rep will solve the problem or pass on the information to the 'Point of Contact' (see below). Ideal for a parent with a young one in tow and kids dispersed on various fields (allows you to constantly rotate field to field and watch your kids and/or can get a nap in for a youngster).

T-Shirt Coordinator (softball, soccer): This position requires one person to pick up the t-shirt order for the entire co-op (at the printer in Richmond). You will then consult the master roster list (broken down by team) and use painter's tape and a sharpie to label each shirt and sort by team. This ensures easy distribution and allows any mistakes to be caught and remedied beforehand.

Snack Coordinator (softball, soccer): This person oversees the snacks on game days for the co-op for the season. The snack coordinator may utilize the other snack volunteers as needed. CHS pays for the snacks, and the snack coordinator and other volunteers are reimbursed for any expenses outlaid. The snack coordinator is given a budget and head count to follow, as well as a list of allergies to be considered.

Snack Volunteer (softball, soccer): These volunteers work directly with the Snack Coordinator (if they choose to use volunteers). They pick a day or week to purchase snacks for the whole co-op. Head counts, max price per item, and allergy list are provided by the Snack Coordinator. Receipts are submitted to either the Snack Coordinator or CHS for reimbursement through PayPal or Venmo only.

Photographer (softball, soccer): This volunteer will take team pictures on designated picture day(s). We ask that you email the photos to CHS. CHS offers team photos only, not individuals.

Kid Courier (softball, soccer): This position requires two volunteers to safely transport the Coaches kid(s) from the picnic table drop off point to their team, when their Coach arrives. This position is crucial as it allows our Coaches to be present on the field to keep players safe and get practice/games started on time.

Point of Contact (softball, soccer, dodgeball): This position is held by the current Board Members. The Point of Contact(s) will be available at each sport played, as well as answer any emails sent during the current season. The Field Rep should address any concerns to the Point of Contact. Anyone else with needs or concerns can talk with the Point of Contact at the designated table. The POC also has the First Aid kit, extra equipment, lost & found pile, and is happy to answer questions.

Head of Registration: This person will learn JotForm and organize the registrants into teams. Must have a Gmail account and know how to create, use, and share documents on google.

Board Members: CHS is registered as a non-stock, non-profit organization. As such, we are required to adhere to bylaws set when the organization was registered. In order to legally operate, we must have President, Secretary and Treasurer positions filled. The Board is required to meet at least four times a year to improve on and ensure continuity within the organization. The Board Members duties include, but are not limited to: presiding over meetings, recording meeting minutes and ensuring copies are delivered, updating the website and social media, updating contact lists, updating those in the co-op as needed, answering emails, setting up registration, ensuring payments and reimbursements are processed, ordering supplies (equipment, shirts, etc.), securing insurance, assigning volunteers, assigning teams, as well as stepping into other roles on an as-needed basis.
The Board is looking for volunteers who would be willing to fill one of the current board positions, if and when the need arises.

What if I want to see my kids play, but I’m in a volunteer position?
Volunteers usually work together to assure each parent volunteer can take a turn to see his or her children play.

If I volunteer once, will I be expected to fill that position every season?
Unless you specifically want to continuously fill the same role, we will try our best to make note of who fills each position, then rotate, so the same parent doesn’t feel obligated to the same task every time.

What if I can’t volunteer on the field?

If you are pregnant, nursing, wrangling a small child, have a disability or care for someone with a disability during the time you are at the field, you may want to volunteer for a non-field position. There is a separate form for those who, due to their circumstance, are unable to volunteer on the field.
